WEB-BASED QUALITY MANAGEMENT SYSTEM

Mireaux's Web-Based Quality Management System or Web-Based QMS, is a full suite of software modules designed specifically to meet, in a very efficient manner, all requirements set forth by the ISO 9001:2008 and ISO 27001:2005 standards.  The software resides on the internet, allowing all employees or appropriate users, full access to the management system,  anytime, anywhere.  The full system consists of modules and dynamic  applications, which work seamlessly to provide users the information needed with minimal effort.

BENEFITS

1. MAKE UPDATES ALMOST INSTANTLY

Updating hard copies when a new revision of a procedure or work instruction is published, is without doubt a very time-consuming task. Usually copies are distributed per person and not per position or department, making those documents hard to find when people move, since nobody knows where the copies were stored or what filing system was used by the individual. Companies end up finding themselves with lost, outdated and uncontrolled documents, which unfortunately always seem to appear during the ISO Audit, when the ISO Auditor easily finds what you couldn't.  With Mireaux's Web-Based QMS, you can update documents on the intranet as soon as you update the master copy. Everyone with access to the system, will be able to see the newly released document as soon as the master is saved in the system. No more walking to all offices or sites, no more collecting binders, no more signing the "received" log. The Web-Based BMS is practical, fast and convenient.

2. ELIMINATE OR REDUCE THE INCIDENCE OF UNCONTROLLED DOCUMENTS

In a traditional paper-based system, sometimes it is hard to get hold of a procedure where you need it and when you need it, so people tend to make their "own just-in-case copies".  In the Web-Based QMS, documents, such as procedures, reports, forms, etc. are stored in the system indefinitely. For example, ISO Internal Audit reports can be stored indefinitely, making it very easy for people to rely on the system for its major source of information.

3. ACHIEVE A VIRTUAL MAINTENANCE FREE SYSTEM

How many employees does it take to maintain the corrective action system and ensure corrective actions are issued when needed?  How many employees does it take to verify, validate and close corrective actions? It is not difficult to see that in a traditional paper-based management system, there is a lot of manpower involved in maintaining the system. On the contrary, Mireaux's Web-Based QMS frees up needed resources so that people can carry on their jobs. For example, using the Web-Based QMS' Continual Improvement Program or CIP, a Corrective Action Request can be filled out online and automatically be emailed to the investigator or system admin as necessary. This person can in turn submit its response online, which will trigger the online system to send another e-mail for analysis, verification or validation as required by the company. No more walking the "CAR"!. Basically no more resources wasted on non-value added tasks.

4. INTEGRATE ALL PROCESSES, FROM HUMAN RESOURCES TO SALES

With Mireaux's Web-Based BMS, a management system does not have to be just Quality, in fact the term BMS (Business Management System) eliminates the implication that the system is built for the Quality Department only. Procedures, forms, etc, from all departments can be built into the system to enhance its purpose and maintain consistency in the overall operations. Human Resources forms can be included in the online system making it easier for employees to access them on a as-needed basis. Customer presentations are more impressive when you can demonstrate that all of your processes and all of your sites are integrated into a single Business Management System that can be accessed anywhere, anytime.

5. UPDATE TO ISO9001:2000 or ISO27001:2005 AND GET THE MOST BANG FOR YOUR BUCK

Companies that are seeking ISO 9001 or ISO 27001 certification for the first time are at advantage because they can build the Web-Based QMS from the ground up. Companies that are already ISO 9001 certified and are looking to upgrade will most definitely benefit if they convert their traditional paper-based system to Mireaux's Web-Based QMS. They also have an advantage in that their manual, procedures, work instructions, etc., are already developed. The only possible disadvantage is that some employees may not be as open-minded to the new state-of-the-art system and may see it as a threat, especially if their jobs existed because of the paper-based system.

6. MAKE YOUR SYSTEM COMPLIANT TO OTHER ISO 9000 SERIES STANDARDS

With Mireaux's QMS, it is easier to visualize the entire picture. With a click of a mouse, you know exactly where the Quality Manual is, how all company processes interrelate, where the Statement of Applicability is, what programs are in placed, etc. This is very important if you are seeking to certify or make your system compliant to other ISO standards. You can leverage not just your processes but all of the programs you have in place. The Continual Improvement Program (CIP) used to manage corrective action for example, with minor reporting modifications, can continue to be used in your company and serve the requirements of any new standard.

7. BRING ALL YOUR SITES UNDER ONE QMS

Leveraging from a  management system already existent in another company site or location is a great idea and works best when used with Mireaux's Web-Based Quality Management System. If your current system is paper based, the very idea of approving documents, revising them and updating hard copies in two locations will make the system too cumbersome to use. On the contrary, Mireaux's Web-Based QMS will thrive in this kind of environment, where two, three, or more company locations are using the system. There are other advantages to that as well, for example leveraging the cost of audits and keeping a single certificate for the company that includes all sites.

8. ACCESS THE SAME QMS FROM ANY OF YOUR SITES...REAL TIME

Think of going to one of your sites to conduct an internal audit and being able to enter the corrective actions at the airport while your wait for your flight back home. If you think that is too good to be true, well that is what Mireaux's Web-Based QMS can do for you. You can not only do this, but much more...check the latest metrics on company objectives, get a report on outstanding corrective actions, look at your External Audit schedule, etc. Less time wasted waiting and more time saved to spend with your family at home.

9. ENSURE CONTINUATION OF THE SYSTEM FOR YEARS TO COME

One thing is certain, when employees move, get promoted, transferred, laid off or terminated, they always take some information with them that is later hard to find. With Mireaux's Web-Based QMS, all information is stored in a central company server, usually backed up by IT. The information is available to any employee, anywhere, anytime, therefore movements of people do not result in lost information.

10. MAKE CUSTOMER PRESENTATIONS NOT JUST A BREEZE BUT A DAZZLING EVENT

You need not prepare for a customer presentation anymore, your Web-Based QMS is your presentation. Show your customer your ISMS Security Manual, procedures, forms, Management Review presentations, closed Corrective Actions, your last Audit findings, etc., all from the same room. Not only will you save the customer valuable time to be spent visiting the floor, but you are sure to get him/her in a positive frame of mind from the start. Believe us...your customer will leave speechless!

IMPLEMENTATION STEPS

Implementation of the Web-Based QMS depends on whether you are going for full ISO 9001 certification, ISO 27001 certification or if you are just migrating your current management system from paper to online. The following outline represents typical steps for implementation:

  1. Management System Analysis

Based on your ISO certification needs, we will recommend the modules and applications needed to optimize its use and functionality.  You made the final decision on what modules or applications to implement.

  2. Develop Implementation Plan

Once we have defined the modules and applications needed, an implementation plan is developed outlining steps and timelines for project completion.

  3. Software Installation

We will install all identified modules and applications and conduct the appropriate configuration and testing.

  4. Data and Documentation Transfer

Based on the modules and applications selected and your initial situation (new ISO certification or redesign of your paper system)  we will take care of transferring existing documentation and populating all components of your new Web-Based QMS as needed.

  5. Customization

Customization of existing modules and applications within the Web-Based QMS or creation of new software is available.   Scope and pricing must be agreed on before work is commenced.

  6. Training

Upon completion of all installation and testing, we will conduct training on the navigation and functionality of all Web-Based QMS modules and applications.  Administrator training is also provided to those individuals who will oversee your new Web-Based QMS.
