CONTINUAL IMPROVEMENT PROGRAM (CIP) APPLICATION

The CIP is a powerful online closed-loop corrective and preventive action program that supports opportunities for improvement from multiple sources including:

  • Customer Complaints

  • Internal/External Audit Findings

  • Management Review Action Items

  • Internal Issues

  • Security Incidents

  • Supplier Issues

  • Out of tolerance conditions (Calibration)

Once a CIP is initiated, it goes through a series of stages to ensure appropriate investigation, verification and validation. The entire CIP process is handled online without the need to ever print a piece of paper, with notification occurring through e-mail. Short and long path are available to accommodate the severity of the problem.

With an extensive array of capabilities, the CIP eliminates the need for multiple spreadsheets, databases and applications, as it serves as the one stop shop for all your continual improvement efforts.

CIP Workflow screen shots

CIPs from any source can be classified as corrective or preventive action according to the severity of the problem deemed by the CIP coordinator. The long path assures that the CIP root cause analysis & investigation is reviewed and approved prior to taking the action. Verification and validation of the action are also necessary for the CIP to be considered closed.

CIP Coordinator decides if the opportunity for improvement reported is a Corrective Action, Preventive Action or a simply Correction.  By relieving the requestor from that task, you are letting them report any opportunity or problem they encounter.    CIP Coordination - Assign Routing
Once CIP Coordinator decides if the problem is a corrective action, preventive action or correction, then he/she chooses the path.  Long Path and Short Path are available when the problem is deemed corrective action or preventive action.  CIP Coordination Path
CIPs deemed Corrective Action and assigned a Long Path, will go thru a seven step process: Request, Coordination, Investigation, Investigation Verification, Action, Action Verification and Validation.  CIP Corrective Action Long Path
CIPs deemed Corrective Action and assigned a Short Path, will go thru a five step process, thus saving you a lot time and resources: Request, Coordination, Investigation, Action Verification and Validation.
CIPs deemed Preventive Action and assigned a Long Path, will go thru a six step process, thus saving you a lot time and resources: Request, Coordination, Investigation, Investigation Verification and Action Verification.
A detail history tab, will show you exactly what happened to the CIP, when it was requested, when it moved through the different stages and any comments available.

CIP Reminder and Escalation

CIP escalation reminder functionAt various stages throughout the CIP process, there is the option to turn the CIP reminder faeature on, as well as the CIP escalation feature.  When those are turned on and the appropriate days have been entered, the system automatically generates email reminders when the CIPs are becoming due or are past due for any type of action, such as investigation, verification, etc.

CIP Email reminderOnce the requirements for the reminder functions have been met, emails are sent to the designated individuals and emails continue until the corrective/preventive action is taken care of. CIPs that have not been taken care of in time, are escalated to the appropriate manager, alerting them of corrective/preventive actions that need resolution in his/her department(s). Emails continue until the CIP is closed.
